What is SuperSalesman?
SuperSalesman manages the car sales process from initial contact through documentation to invoicing.

Business need
There are a large number of common sales process weaknesses that occur in motor vehicle dealerships. The following main areas were identified:
  • Incomplete deal files.
  • Incomplete documentation.
  • Manual Processes.
  • Salesmen with poor admin skills.
  • Limited control over leads.
  • Limited control over prospects.
  • Very little marketing feedback.
  • Little or no cotrol over expiry dates.
  • Unprofessional manual quotes, used car appraisals, offers to purchace and F&I documentation.
  • Incomplete used vehicle appraisals.
  • Manual interface with M&M.
  • Little or no control over trade covers.
  • Incomplete Offers to Purchase.
  • Manual completion and submission of F&I documentation.
  • Use of manual stock sheets.
  • No M&M info on stock sheets.
  • Manual management reporting.

How we solve it
Digiata developed a web based integrated software tool to improve the control over the areas of weakness that were identified. The application has a modern intuitive interface and requires single data entry for all information. The application can be set up for various user profiles, which restricts access to selected functionality and information. Software updates and standing data maintenance can be done on-line. The various elements included in version 1 are:
  • Management of sales activities through capturing customer details and initial contact activity of every sales enquiry onto a database
  • Management of prospects through listing all sales enquiries that could result in sales transactions and providing a status indicator of where the transactions are in the sales process as well as a % chance of closing the transaction indicator.
  • Management of daily tasks through providing a list of expired Quotations, Appraisals, Offers to Purchase and follow-up dates to re-contact with the view of maintaining customer contact on every single sales prospect in a consistent controlled manner until either concluding or recording a reason for losing the sales transaction.
  • Providing an information window to remind sales staff of special deals or incentives on a daily basis.
  • Electronic generation of a standard format hard copy and soft copy Quotation, through the utilization of wizard style input screens, that can be printed, e-mailed or faxed electronically. It records customer details, the basis of the sales transaction and an expiry date.
  • Electronic generation of a standard format hard copy and soft copy Used Car Appraisal, through the utilization of wizard style input screens, that can be printed, e-mailed or faxed electronically. It records customer details, the basis of the trade-in transaction and an expiry date.
  • Providing an electronic link to Mead & Mc Grouther information which is used in automatically providing the trade and retail trade values of trade-ins on the Appraisal wizard, automatically providing the trade and retail trade values on the electronic stock ledger and providing a quick look-up facility for the sales staff to refer to when dealing with customer enquiries.
  • Providing a trade cover control mechanism which restricts the sales staff to only using authorized traders and compelling them to record the trade cover amount and expiry date.
  • Electronic generation of a standard format hard copy and soft copy Offer To Purchase, through the utilization of wizard style input screens, that can be printed, e-mailed or faxed electronically. It records customer details, the basis of the sales transaction and an expiry date.
  • Electronic generation of a standard format hard copy VAT form.
  • Electronic generation of a standard format hard copy Deal file information schedule.
  • Providing a daily updated electronic stock ledger linked to the accounting system, the Quotation wizard and the Offer To Purchase wizard, to enable the sales staff to identify specific units to meet customer requirements and to place a hold on units that have been offered to customers.
  • Electronic generation of a standard format hard copy and soft copy Finance application, through the utilization of wizard style input screens, that can be printed, e-mailed or faxed electronically. It records all the information required by financial institutions to approve finance transactions on cars.
  • Electronic generation of a standard format hard copy and soft copy Comprehensive insurance application, through the utilization of wizard style input screens, that can be printed, e-mailed or faxed electronically. It records all the information required by insurance companies to approve insurance transactions on cars.
  • Generating a sales activity report which reflects the number of different sales activities for a period per sales person and consolidated.
  • Generating a sales and gross margin report which lists all transactions selected based on the % chance of closing a transaction indicator and it reflects the information per status indicator. The report is a forecasting tool and a record of completed transactions for a period. The report can be generated per salesman and consolidated.
  • Generating a prospects report which is a list of all prospects that a particular sales person is working on.
  • Generating a used car valuation report which lists the Mead & Mc Grouther trade and trade retail values, two trade covers, repair costs, over allowance and stock value per used car appraisal done for the period.
  • Generating a stock floor plan costs report which reflects the stock cost, floor plan costs per day and total floor plan costs per new and used car held in stock.
  • Generating a marketing information report which reflects the number of different marketing hits per sales enquiry for a period per sales person and consolidated.
  • Generating expired Quotation, Appraisal and Offer To Purchase reports which reflects all the expired transactions with remarks for a period per sales person and consolidated.
  • Electronic interfaces to Automate and Kerridge Accounting systems.
